Built for work that should not be forgotten
Turn every service visit into a record that keeps working.
Give technicians better context before they arrive, capture consistent evidence in the field and leave customers with a clearer history of their equipment and building systems.
For residential and commercial service companies. Access is arranged with Harmelo after review. Nothing on this page creates an account.

Arrive with context
See the history and information already connected to the equipment.
Document the work
Keep observations, photographs, readings and recommendations together.
Make the next visit smarter
Give the next technician and customer a record they can actually use.
Before the truck stops
Let the next technician start where the last one finished.
Open the property on the phone and see what the last technicians found, visit by visit: readings, photos, findings and what was recommended. No more reconstructing previous work from invoices and memory.
- Equipment and service history before arriving
- Recurring issues visible across visits
- Customer continuity when technicians or office staff change
- Less time spent reconstructing previous work

- The problem
- A technician new to the unit starts from nothing.
- What Harmelo does
- Equipment memory shows the unit's history across every technician who serviced it.
- The outcome
- The first visit is as informed as your most experienced technician's.
Before the visit, in the field, after the visit
Before, during and after every visit.
Technicians file from their phones on site, against the specific unit rather than a free-text job note.
Before the visit
Arrive with context
- See the building and equipment history on file
- Understand what was observed last time
- Know which documents and details are still missing
In the field
Document the work
- Record equipment, readings, photos and observations the same way every time
- Connect the technician and the work to the correct asset
- Keep evidence and recommendations together
After the visit
Make the next visit smarter
- The customer gets a clearer record of what happened
- The next technician does not start over
- Service and replacement history builds over time, with your company's name on your work
Operating intelligence
Run the company from what your own records show.
Every signed visit makes the next decision easier. The contractor workspace reads your company's own records back to you, with every item opening the visit or document it came from.
- Today: for each area you serve, the customers who have authorized you, the equipment your company documented there and the recommendations still open from your latest visits.
- Coming up: the same months in past years, from your own visit history, to plan seasonal work and staffing.
- Service signals: repeat service and recommendations whose window passed with no later visit, each naming its visits.
- Opportunities, stated as facts: overdue service, unresolved recommendations, documented warranty terms ending, approaching planning windows and missing evidence. No scores, no rankings.
- Customer outputs: the customer summary comes from the same signed record, so the customer sees what was done and what was recommended.
- The problem
- Seasonal rushes, repeat calls and missed follow-ups are managed from memory.
- What Harmelo does
- The workspace shows what is open, what recurs and what happened in the same months before, from your signed visits.
- The outcome
- Calendar capacity is protected before the rush, and follow-up work is not left on the table.
Observed history only. Harmelo does not forecast service demand, predict failures or replace your dispatch software.

Seasonal preparation
Protect your calendar before the cold arrives.
Historical local conditions can help contractors plan pre-season outreach and complete documented routine work before high-demand periods, preserving more calendar capacity when urgent no-heat or no-cooling calls arrive.
- Review recurring local conditions and historical weather patterns
- Identify customers with documented heating or cooling concerns
- Encourage appropriate service before expected high-demand periods
- Stay visible to your customers when extreme conditions create demand
The Building Almanac is a free public resource from the Infrastructure Condition Index, a separate Harmelo product. Harmelo does not predict failures, guarantee demand or replace your dispatch software.

The record behind the work
The invoice proves you charged for the visit. The record shows the value of the work.
Good work is usually reduced to a line on an invoice. On Harmelo it stays with the equipment, attributed to your company and the technician who did it.
Standard field records with photographs, readings, findings and recommendations together, filed at the equipment.
Attribution to your company and technician, through staff and software changes, and a stronger handoff to the homeowner.
Documented age, history and repeat findings support repair-versus-replacement discussions without predicting failure.
Why contractors use it
Show the quality behind the work.
Harmelo is not extra paperwork. It is how the work your crew already does becomes something your customers, your office and your next technician can use.
- Demonstrate the quality and care behind every visit
- Give customers a more professional record of their equipment
- Keep field and office teams working from the same context
- Make observations and recommendations easy to understand later
- Stand out through better documentation
A technician arriving for the first time can begin with the same recorded history and job context available to your most experienced staff.

- The problem
- Customers receive a line on an invoice.
- What Harmelo does
- The customer summary is drawn from the signed record: what was done, what was found and what was recommended.
- The outcome
- Customers see the quality behind the work, and remember who did it.
Repair or replace
Have the conversation with the history in hand.
Units approaching the end of their typical service life are surfaced from their age and service record, so you can plan the conversation instead of having it in a basement at the worst moment. It is an operational signal, not a condition score, and the decision stays with you and your customer.
- Recurring maintenance continuity across seasons and technicians
- Repeated findings visible as repeats
- Warranty position on file where it has been documented

- The problem
- Repair-or-replace conversations happen in a basement at the worst moment.
- What Harmelo does
- Units approaching the end of their typical life are surfaced from their age and service record, with what each record still needs.
- The outcome
- The conversation is planned, with the history in hand, and the decision stays with you and your customer.
Residential and commercial
The same record, whoever you answer to.
The trade is the same and so is the record. What differs is who you report to and how many buildings you carry.
Residential service
Houses, condominiums and small multi-unit buildings. Homeowner customers, repeat visits to the same equipment, and a reputation built on whether the tech who shows up knows the house.
When the home is sold, the record can transfer to the new owner with the equipment's history, and your work stays attributed to your company.
Commercial and institutional service
Portfolios, plants and public buildings. Crews across many buildings, and client reporting you have to stand behind.
Harmelo runs alongside the CRM, dispatch and CMMS you already use. It is where the field record lives, not a replacement for how you schedule, quote or invoice.
What it never exposes. Authorized asset continuity means an owner or operator can see the service history of their own equipment. It does not expose your pricing, your margins, your internal notes, your employee information or any other commercial information of yours.
What it costs
Published, and the same for everyone
This is the base on every contractor quote, whatever the crew size: one ladder, per firm and per technician, and the same whether your book is residential or commercial. It is not a portfolio or organisation price, which is quoted differently. Every rate is only charged on the technicians inside its own range, so adding one is never a jump.
A firm with 26 technicians is $3,720, because the first three are the base, the next seven are $175 each, the next fifteen are $120 each, and only the twenty sixth costs $95.
All prices are in Canadian dollars (CAD), before tax.
Onboarding, $899 once
A single one-time charge, separate from the annual pricing above, covering setup, importing what you already hold, and getting your technicians filing. It is not an annual subscription and it does not change with the number of technicians. Paying it does not create an account or platform access: access for contractors is arranged with Harmelo after review.
How we deal with you
A neutral record, built around your work
Harmelo preserves what your company documents without ranking contractors, selling placement or taking ownership of your commercial information. The same terms apply to every contractor on Harmelo.
Independent
You are never ranked, scored, or shown beside a competitor. There is no blacklist, and no preferred placement to buy.
Evidence, not certification
A record shows which identified account filed the work. We do not certify you or your work; the workmanship stays between you and your customer.
Your relationship remains yours
We do not promise you leads, work or customer retention. Your pricing, notes and commercial information remain yours. Participation does not give Harmelo ownership of your underlying information.
Every visit that is not recorded against the equipment is history your next technician rebuilds on site. Starting now means the next call on that unit begins with what your company already knows.
